What Personal Information We Collect
CaseBoard directly collects and stores the following on our systems:
- Your email address (via Google authentication)
- Your name and email address (if you use the 'Contact Us' form)
- Payment information (processed by Stripe — we only store a customer ID)
Your case data is different: personal details you enter in your cases (names, addresses, phone numbers, etc.) are sent directly from your browser to your own Google Drive. This data never passes through or is stored on CaseBoard's servers, except if you choose to use the AI Case Synthesis feature — see "How We Access and Use Your Google Data" below for that specific exception.
How We Access and Use Your Google Data
CaseBoard uses Google Sign-In and the Google Drive API. Here is exactly what that means:
- What we access: Your basic Google profile (email address) for sign-in, and only the specific files CaseBoard itself creates in your Google Drive. We use Google's restricted
drive.file scope — this means our app cannot see, read, or access any other files already in your Drive, only the ones it creates on your behalf.
- Purpose of use: To authenticate you, and to save and retrieve your case data directly to and from your own Google Drive, so you always retain ownership and control of it.
- How it's processed: Your case data is sent directly from your browser to Google Drive's servers. It is never routed through, processed by, or stored on CaseBoard's own servers.
- How it's shared: We do not share your Google user data with any third party, except that if you choose to use the optional AI Case Synthesis feature, the relevant case data (which may include content originally stored via Google Drive) is sent to Anthropic's API, using your own Anthropic account, to generate your synthesis — see "Who We Share Your Information With" below for details. Your Google account email and Drive access are never shared with anyone. Your data is not used for advertising, and is not used to train any AI model.
- Data retention: Your data remains in your own Google Drive for as long as you keep it there. CaseBoard does not retain a separate copy anywhere. If you revoke CaseBoard's access via your Google Account permissions, we lose all ability to read or write to your Drive immediately.
For more detail on how Google's policies apply to apps like CaseBoard, see the Google API Services User Data Policy.
Who We Share Your Information With
We share information with the following third-party services:
- Google: For authentication and storing your case data in your Google Drive
- Stripe: For processing subscription payments
- Cloudflare: For hosting and infrastructure
- Resend: For sending contact form emails
- Anthropic: If you use the AI Case Synthesis feature (Premium), you provide your own Anthropic API key, billed to your own Anthropic account. Your case details pass through CaseBoard's proxy server (a Cloudflare Worker we control) on their way to Anthropic's API — this server does not store or log your data, it only forwards it. Anthropic automatically deletes this data from their systems within 30 days.
We do not sell or share your data with anyone else. Your case data is never accessed by us.
How to Review and Change Your Data
You have complete access to review and change your data:
- View and edit your case data directly in the CaseBoard app
- Delete individual cases using the case menu in the app
- Access your backed-up case files in the "CaseBoard" folder in your Google Drive
How We Notify You of Changes
If we make changes to this privacy policy, we will update the 'Last Updated' date at the top of this page. We recommend checking this policy periodically for updates.
Analytics and Tracking
CaseBoard uses Google Analytics (GA4) to understand how the app is used — for example, page visits and sign-in activity. This helps us improve the product.
- We do not use this data for advertising and we do not share it with advertisers
- We do not track your activity outside of CaseBoard
- Analytics data is separate from your case data, which is never sent to us
